Why utilization changes the rate

Equipment ownership costs continue while a machine sits idle. This calculator divides depreciation, insurance and storage by expected billable hours—not total calendar hours. If utilization falls, each billed hour must recover a larger share of annual ownership cost.

Cost recovery is not the same as market price

The break-even result describes the assumptions entered. The suggested rate adds a simple markup on cost, but it does not know local competition, seasonality, contract risk, transport distance or customer credit. Compare the result with real quotes and your commercial policy.

Use one currency throughout

The currency selector formats values only and does not apply exchange rates. Enter every cost in the same currency so the result remains auditable.

How do you calculate an equipment rental rate?

Estimate annual ownership costs, spread them across expected billable hours, then add maintenance, fuel, operator costs and your chosen markup. Lower utilization increases the ownership cost recovered from each billed hour.

What utilization percentage should I use?

Use your own dispatch or hour-meter history when possible. Utilization is billed or productive hours divided by the hours the equipment could reasonably have been available. The default is an editable example, not an industry benchmark.

Does the calculator include financing and transport?

No. Financing, taxes, mobilization, transport, downtime and damage risk are not modeled automatically. Add them to your internal rate analysis before quoting a customer.
